A Step-by-Step Guide to Setting Up User Delegates in Sage X3 for Seamless Workflow Continuity

Have you gone out for a holiday with minimal access to emails, or better still, you do not want calls to approve this or that? If all you want is a good time with your family or yourself, think about it no more because here is a solution for you. The Sage X3 User Delegates Function!

Setting up User Delegates simply means that any approval that is needed while you are away, will be delegated to someone else and the company processes will continue even in your absence.

So, for instance, let’s say an approver by the code ERP is away from the office between 22nd November 2023 and 30th November 2023.

So, all his approvals can be directed to another person say USR01 for the days he will be away.

Below is a quick illustration.

Go to Parameters >> Workflow >> Delegates

Important to take note of, are the last three sections on the lines

The type of delegate, valid from and valid until.

With Authority they will have the authority to approve all rejections.

The validity period simply means that this person will only be able to do approvals within the indicated timelines and after that, they will not have the rights.

Then go on and create.

Again, on Parameters >> Workflows >> Workflow Rules >> Recipient Section >> Delegate Option

That should be set as first available option.

Then Validate.

You can now enjoy your holiday in peace and bring back some goodies for your colleagues in the office when you come back.
